Welcome to Sunny Haven’s Sponsored Residential Provider Resources page. This space is designed to give both current and prospective Providers a comprehensive and thorough understanding of what to expect when partnering with us. We take great care to ensure that our Providers are not only informed, but also uplifted, supported, and prepared to deliver exceptional care to individuals with intellectual and developmental disabilities throughout Virginia.

Our approach begins with intentionality. Every potential Provider engages in a detailed interview with our leadership team, allowing us to better understand their values, daily lifestyle, caregiving philosophy, and commitment to person-centered supports. This mutual exploration helps us identify whether Sunny Haven is the right fit for both the Provider and the individuals they may serve. We want our Providers to feel confident and clear about what is expected before moving forward. Once approved, Providers enter into a formal agreement with Sunny Haven, receive comprehensive onboarding materials and walkthroughs, and are welcomed into a supportive, collaborative network of professionals. Contracts are renewed on an annual basis, with opportunities for feedback, growth, and continuous improvement built into our ongoing support structure.

Pay rates for Providers are determined by our Director, Marcie Childress. These rates may vary depending on the individual’s needs and level of support but are standardized across regions to ensure fairness. This transparency is essential to our approach; we openly discuss pay, responsibilities, and expectations during the initial phase so there are no surprises. We want every Provider to feel respected, fairly compensated, and fully informed before opening their home to someone in need.

In today’s world, technology is a fundamental part of delivering high-quality, accountable support. Providers must be able to navigate essential digital systems—including our intranet, the Lauris documentation platform, and all online training modules—or employ staff who are proficient in doing so. The intranet serves as a central location for onboarding, annual training, policy updates, service announcements, and detailed guidance on completing forms and documentation.

Regular use of the Sunny Haven intranet is expected, as we communicate important information that directly affects compliance, training, and quality of care. Keeping up with these tools ensures Providers are always informed and prepared. If you are unable or unwilling to use a computer or access web-based tools consistently, this arrangement may not be the right fit for you or your household. Our expectation is that all Providers engage with the systems in place to maintain accuracy, timeliness, and accountability across all areas of service.

Lauris, our HIPAA-compliant online documentation system, serves as the primary location for all service logs, daily notes, medication tracking, incident reporting, and progress monitoring. Providers are expected to complete daily notes that are not only timely but also rich in detail, personalized, and reflective of the individual’s unique day. Notes should address the type of support given, any community involvement, behavioral observations, and the person’s mood or response. There is no required word count, but notes should be specific and offer real insight. We provide training examples and walk-throughs in the intranet so that all Providers have a solid understanding of what high-quality documentation looks like.

Beyond documentation, Providers are never alone in this work. Our Program Managers provide regular, hands-on oversight—conducting three consecutive monthly visits when an individual first moves in, followed by quarterly check-ins thereafter. These visits serve multiple purposes: ensuring compliance with all state and Medicaid requirements, assisting with documentation reviews, offering in-person coaching, and addressing any questions or concerns the Provider may have. Program Managers also act as a bridge between the Provider, the individual’s support coordinator, and the family, fostering a sense of team and shared purpose.

Compliance with regulations is a vital part of our partnership. Providers must adhere to:

​

  • 12VAC30-122-530 – Covers Medicaid rules for Sponsored Residential Services, including service delivery and provider responsibilities.

  • 12VAC35-105 – Sets licensing and safety requirements for developmental disability providers in Virginia.

  • HCBS Settings Final Rule – Establishes individual rights, access to the community, and dignity in service settings.

 

Sunny Haven provides comprehensive training on these regulatory expectations. Our team ensures that every Provider understands their role in meeting and exceeding these standards, and we are committed to offering real-time guidance and support whenever needed. Training is tracked, monitored, and reinforced through the intranet and the oversight of our Program Managers.
